Buildings add a layer of logistics that a single-family home never does: shared elevators, loading-dock time windows, certificates of insurance, HOA or property-management rules, and street parking you don't control. Miss one of these and you can lose a move-in date, get turned away at the loading dock, or forfeit part of your security deposit. This checklist walks the timeline from four weeks out to the first night in your new place.

4 weeks out: notice and paperwork

Give your landlord written notice

Most California leases require 30 days written notice before you vacate (check your lease — some require 60). Deliver it in writing, keep a dated copy, and confirm receipt. This one step protects your deposit and stops rent from rolling into another month.

Reserve the building elevator and loading dock

  • Ask about padded-elevator setup and any move fee or refundable deposit

Order the certificate of insurance (COI)

3 weeks out: plan the logistics

Sort out parking and the loading zone

A 26-foot truck needs a legal place to park close to the entrance. On tight Bay Area streets this is often the single hardest part of an apartment move.

  • Check whether you need a temporary no-parking permit or loading-zone reservation from the city (San Francisco and Oakland both issue these)
  • Reserve driveway or dock space with building management if available

2 weeks out: pack for a small space

Packing order for an apartment

Small spaces reward a room-by-room order. Pack the rooms you use least first and the kitchen and bathroom last.

  1. Storage, closets, and décor — off-season clothes, books, wall art
  2. Living room — electronics (photograph the cable setup first), media, shelving
  3. Bedroom — wardrobe boxes for hanging clothes, mattress bag on move day
  4. Kitchen — dishes vertically in dish-pack boxes, pantry last
  5. Bathroom and daily essentials — pack the morning of the move

Label every box with the destination room and a short contents note. In a small apartment, weight matters more than size — keep books and canned goods in small boxes so a single carton never gets too heavy for a stairwell.

Pack a first-night box

Set aside one clearly marked box (and a small bag) you carry yourself — do not let it go on the truck. It should cover the first 24 hours before you unpack anything else:
